Parts Administrator
Reports to: Parts Learning & Development Manager
FLSA Status: Non-Exempt

Responsibilities: The Opportunity The Parts team is seeking a Parts Administrator that possesses outstanding organizational skills and a high degree of attention to detail.
The Parts Administrator is responsible for a wide range of tasks, including parts sales coordination, interacting with the leadership team, customers, and vendors.
Proficiency in Microsoft applications is essential, and the ability to thrive in a fast-paced, high-volume work environment.
Responsibilities Manage government/ISD bids and seek out new bid opportunities.
Handle entry and distribution of business portal requests (Coupa, Corrigo, Buyboard orders) and coordinate with appropriate parts personnel.
Assist in developing basic marketing materials for promotions and digital displays, using user-friendly design tools and software.
Efficiently manage multiple projects, including travel and event planning for the Parts team.
Assist in the creation and distribution of internal parts communication materials.
Assist the Learning and Development team in creating training content material using digital design tools and updating an internal knowledge base.
Maintain Outlook Calendar by scheduling meetings, appointments, and parts department events.
Manage documentation including drafting memos and minutes and provide clerical support such as note-taking and task tracking at leadership meetings.
Enjoy working both independently and in a fast-paced environment.
Generate, interpret, and print various reports.
Flexibility to work overtime/ weekends, as required.
Performs other duties as assigned.
Qualifications: The Required Profile Strong PC skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
The ability to multi-task, prioritize and strong organizational skills are essential.
Demonstrated aptitude for quickly learning and adapting to various new software platforms and digital tools.
Capability to manage creative tasks involving marketing material design and content creation.
Associate Degree in Business, Marketing, Communication or related field or 5 years of relevant experience a plus Other Skills/Abilities Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write correspondence.
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret graphs.
Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Mental stamina for problem solving and prioritizing multiple tasks.
Environmental Requirements Will be required to work in an office environment and possibly, occasionally in the field.
Physical Demands While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard and telephone, reach with hands and arms.
The employee frequently is required to stand, walk, and sit.
The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.
The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds.
Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
