Because we would like our patients experience to be as seamless as possible and one of our own is taking maternity leave, we need a flexible and versatile Orthodontic Treatment Coordinator/Schedule Coordinator, to join our team.
*Treatment Coordinator (TC) Job Description:*
Our orthodontic office is looking for a confident and assertive treatment presenter, a closer.
We are an office that wants to take it to the next level in all ways.
Exceeding the basic expectations of our patients is paramount to our brand and we need you to make the difference.
We want an individual who not only can convey urgency but also have the ability to build relationships with our patients.
The Treatment Coordinator is responsible for influential communication and a smooth transition of new patients into the practice and to present treatment with the orthodontist(s).
The TC is the point person for ongoing communication with patients and parents during and after treatment.
The Treatment Coordinator also monitors the pre-treatment observation/recall system and communicates with referring offices.
*SKILLS/ABILITIES:*
● Good interpersonal skills to develop an effective relationship with patients, parents, doctors, staff members and community.
● Letter/email composition skills and excellent grammar skills.
● Gentle persuasion skills to guide patients and parents and to instill confidence with regards to the orthodontist(s) abilities and results of treatment.

● Organized, systematic with impeccable follow through
● Knowledgeable with dental insurance
● Positive attitude that exudes confidence and enthusiasm
● Ability to think quickly on their feet
*RESPONSIBILITIES (including, but not limited to):*
● Greet new patients and orient them to the practice.
● Review patient forms during new patient visits and document pre-examination information.
● Guide patients through financial arrangements and prepare appropriate agreements.
● Follow-up with patients in Pending status and unscheduled pre-treatment (Observation) patients.
● Confirm receipt of all necessary forms for patients starting into treatment.
● Manage correspondence related to treatment.
● Follow-up on all missed and unscheduled recall appointments.
● Assist in coordinating practice-building programs with patients, parents, referring and non-referring offices, and within the community.
*Schedule Coordinator (SC) Job Description:*
● Proficient with office software
● Strong customer service skills
● Excellent organization skills
● Strong attention to detail
● Be able to multitask and complete job duties in a timely manner
● Understand basic insurance benefits to effectively educate patients on their dental benefits; willing to train the perfect fit!
● Understand dental procedures and dental terminology for proper scheduling and treatment coordinating; willing to train the perfect fit!
● Appropriately schedule appointments to ensure quality care for patients in a timely, stress-free manner (monitor schedule consistently)
● Follow-up on all missed appointments and fill canceled appointments
● Update patient information as received
● Screen calls, take messages when necessary and answer inquiries
● Follow-up on any voice mails/emails/texts received first thing each morning and immediately following lunch
● Perform other tasks as assigned by the orthodontist(s)
The ideal candidate will have excellent customer service skills, excellent computer skills, is motivated, positive personality, positive energy, highly capable, excellent hand-skills, ability to follow assigned tasks, and willing to succeed at the job.
